What is Gnosis?+

Gnosis is a contract administration assistant for civil engineering and construction. Drop in a contractor's payment claim or variation, and Gnosis extracts the detail, runs the maths, drafts the certificate, and routes it for approval — then asks you to confirm before anything ships.

Built by Alexios Kavallaris, a Civil Engineer with 27 years on major infrastructure projects across Greece, the UK, New Zealand, and Australia.

Who is Gnosis for?+

Civil engineering and infrastructure professionals running formal contracts: project managers, contract administrators, Engineer's Representatives, Superintendents, contractors, and consultants. Particularly aimed at NZS 3910 contracts in New Zealand, with equivalent support for Australian and US contract frameworks.

How do I start a free trial?+

Click any "Start free trial" button on this site, or go directly to app.gnosis.ltd/sign-up. Sign in with Google, Microsoft, or email + password. You're in the App within 60 seconds.

Do I need a credit card to start the trial?+

No. You can start a 14-day trial without entering payment details. Add a card any time during or after the trial via the Stripe Customer Portal at /dashboard/settings/billing.

What happens at the end of the 14-day trial?+

If you've added a payment method, your subscription starts automatically at the end of day 14, at your selected plan and currency, with quantity equal to your active contract count.

If you haven't added a payment method, your account pauses — your data is retained, but new actions are blocked. Add a card to resume. We don't delete trial data immediately.

Do I have to import my contracts manually?+

You can start a contract manually if you prefer — fill in the parties, dates, NZS 3910 references, and Schedule of Rates by hand. But the faster path is to drop in your contractor's SoR Excel and let Gnosis classify the columns, group items, and create the contract structure for you. You confirm before anything is saved.

How does the variation AI-extract work?+

Drop a contractor's variation breakdown (typically an Excel workbook, often multi-sheet). Gnosis classifies the columns — descriptions, units, rates, totals, percentages, processing fees — and pulls every figure verbatim from the source cells. You review the extraction, confirm or adjust, and save. The variation is then ready for buildup, delegation, and authorisation.

How does the payment claim AI-extract work?+

Same pattern as variations. Drop the contractor's payment claim Excel. Gnosis matches the claim line items against your Schedule of Rates, separates submitted / certified / prior columns, and prepares the certification view. Retentions, fluctuations, and the Bond-in-Lieu detection are auto-calculated against your contract's bands. You confirm before the Certificate of Payment is generated.

What if Gnosis gets a column wrong on import?+

Easy to fix. The import preview shows you which columns Gnosis classified as what — you can re-map any column before confirming. Common adjustments: telling Gnosis a 'Description' column is actually a 'Notes' column, or vice versa. Gnosis pulls figures verbatim, so the maths is unaffected by classification adjustments.

Does Gnosis support multi-sheet variation workbooks?+

Yes. Many contractors submit one variation as a multi-sheet workbook — one sheet per element or trade. Gnosis groups all sheets under one variation using a shared key, and you see them grouped on the Variations list. Each sheet keeps its own buildup; the variation totals roll up.

What does 'per active contract' mean?+

Your subscription quantity equals the number of contracts you currently have set to 'Active' in Gnosis. Each active contract counts as one unit at the per-month or per-year rate you've chosen. Archive a contract and it stops counting — your Stripe quantity updates within an hour.

There's a floor of 1: while you have a subscription open, you're paying for at least one active contract. To drop to zero, cancel the subscription outright via the Stripe Customer Portal.

How is billing calculated if I activate or archive a contract mid-month?+

Stripe handles proration automatically. Activate a second contract on day 15 of the month and you'll see a partial-month charge on the next invoice. Archive a contract mid-month and you'll see a partial-month credit. No penalty for activating + archiving the same contract repeatedly — useful for seasonal work.

Can I switch currencies?+

Yes. The Plans page in the App auto-detects your currency based on browser locale. You can override it at sign-up. Once you've started a subscription in a specific currency, switching requires cancelling the current subscription and starting a new one in your preferred currency. Mid-subscription currency switches are deferred to a customer support ticket — get in touch and we'll help.

Can I cancel anytime?+

Yes. Cancel via the Stripe Customer Portal at /dashboard/settings/billing. Your access continues to the end of the current billing period (monthly or annual). After that, your data is retained for 30 days in case you decide to come back, then permanently deleted.

Do you offer non-profit or government discounts?+

Not yet — we're a new product without a fixed discount policy. That said, if you're a council programme, NZTA / Waka Kotahi project team, contractor framework, or university research programme, get in touch with your situation. We're open to discussing pricing case by case.

Is there an enterprise plan?+

Not as a separate tier. If you're running 20+ contracts at once, or want consolidated invoicing across a council programme or contractor framework, book a call ↗ or email info@gnosis.ltd and we'll discuss volume pricing and custom onboarding.

Which contract frameworks does Gnosis support?+

Three at MVP launch:

  • New Zealand — NZS 3910:2013 (and 2023 where applicable), with NZ Construction Contracts Act 2002 statutory notices on Payment Claim certificates, GST at 15%.
  • Australia — general civil contract frameworks, GST at 10%.
  • United States — generalised contract structure with US terminology (Change Orders, Superintendent, Sales Tax).

Each contract is tagged with its jurisdiction at creation. Terminology, tax rate, and standards references adapt automatically per contract.

Does Gnosis handle NZS 3910 contracts?+

Yes — this is the framework Gnosis was originally built for. NZS 3910:2013 clauses are referenced throughout the App: clause 9 variations, clause 12 retentions, clause 6 separable portions, and so on. The CCA 2002 Form 1 statutory notice is generated automatically on Payment Claim Certificates for NZ contracts.

Does Gnosis handle Australian contracts?+

Yes — general civil and infrastructure contract structures are supported. Australian terminology (Variation, Superintendent or Architect depending on contract type) and GST at 10% are applied per-contract.

Australian Standards (AS 4000, AS 2124) are not yet referenced explicitly in PDFs — generic wording is used in their place. Add an AU contract and you'll get the right terminology and tax, but not standards-specific clause references. This will be added based on customer demand.

Does Gnosis handle US contracts?+

Yes — US-locale contracts use Change Order (not Variation), Superintendent or Construction Manager (not Engineer), and Sales Tax (not GST). The retention bands logic stays generic — set your own band thresholds per contract.

What about other frameworks (NEC, FIDIC, AS 4000)?+

Not yet specifically tailored. The data model supports them — you can create a contract under any framework — but standards-specific clause references in PDFs are NZS 3910-flavoured. If you're running NEC or FIDIC contracts and want first-class support, get in touch and we'll add it to the roadmap.

Can I invite teammates?+

Yes. Each subscription is an Owner workspace. Owners can invite up to 4 additional teammates (5 total per workspace) at no extra cost. Invited teammates get one of three roles: Owner (subscription holder, payments + admin), Editor (full read + write on contracts), or Viewer (read-only).

What's the team size limit?+

5 per workspace. If you need more, get in touch — we'll discuss volume-team pricing.

Can I invite my Engineer or Principal as an external reviewer?+

Yes. External reviewers don't need a Gnosis account. When you set up an approval workflow, add their email and Gnosis sends them a magic-link review URL. They can Approve, Reject, or Request Info from any browser. The link expires when the workflow resolves.

How do approval workflows work?+

When you submit a Variation, Payment Claim, RFI, NCR, Notice, or Transmittal for approval, you choose the reviewers in order. The first reviewer gets notified (in-app + email). They Approve, Reject, or Request Info. On Approve, the next reviewer is notified. On Reject, the workflow terminates and notifies you. On Request Info, you get a Reply box; once you reply, the same reviewer can Approve/Reject. Sequential routing, unanimous quorum (every reviewer must Approve), three response types. Final approval auto-locks the entity into read-only mode.

Where is my data stored?+

Hosted on Railway (US West region). MySQL database with internal-only networking — your contract data is not exposed to the public internet. Daily backups. SSL throughout. Stripe handles payment data — Gnosis never sees credit card numbers.

How do you handle confidential contract data?+

Your data is yours. Gnosis processes it solely for service delivery. We don't sell data, don't use it to train AI models, and don't share it with anyone outside our sub-processor list (Stripe, Firebase, SendGrid, Railway — disclosed in the Privacy Policy). Access within Gnosis is workspace-scoped — only your invited teammates can see your contracts.

Is Gnosis SOC 2 / ISO 27001 certified?+

Not yet. SOC 2 Type 1 is on our roadmap for late 2026. ISO 27001 is a longer path; we plan to evaluate after SOC 2.

In the meantime, the security building blocks are in place: SSL everywhere, role-based access controls, workspace scoping, audit logs on permission mutations, regular backups, and Stripe for payments (PCI DSS compliant by proxy). If you need a security review document for procurement, email us and we'll send what we have.

What happens to my data when I cancel?+

Your access continues to the end of the billing period. After that, your data is retained for 30 days in case you decide to come back. After 30 days, it's permanently deleted from our production database. Backups are pruned within 90 days of deletion.

You can also export your contracts + variations + payment claims to PDF via the Reports hub before cancelling — we recommend doing this as a precaution.

Who can see my files?+

Within your workspace: only the teammates you've invited, with their permission level (Owner / Editor / Viewer). External reviewers see only the specific entity (Variation, Payment Claim, etc.) that's been routed to them via magic-link, and only while the workflow is open.

From the Gnosis side: only essential staff with audit logging, and only for support purposes when you've raised a ticket.

Do I need to install anything?+

No. Gnosis is a web application. Sign in at app.gnosis.ltd from any modern browser (Chrome, Edge, Safari, Firefox).

Can I install Gnosis as a desktop app?+

Yes. Gnosis is a Progressive Web App. On Chrome or Edge, you'll see an 'Install' prompt in the address bar — click it and Gnosis runs in a dedicated window like a native desktop app. Works on Mac and Windows.

Is there a mobile app?+

Not currently. Gnosis is web-only at MVP. The web app is responsive but optimised for desktop and tablet — contract administration is rarely done from a phone. A mobile-optimised PWA install is on the roadmap.

Which browsers are supported?+

Chrome, Edge, Safari, and Firefox — current versions. Internet Explorer is not supported. Mobile browsers (iOS Safari, Chrome Mobile) work for read-only and light-edit use but are not the primary target.

Do you have an API?+

Not a public API yet. The backend is built on a REST architecture and we're considering opening selected endpoints once we have customer demand for integration with Procore, Aconex, accounting tools, or BI dashboards. If you have a specific integration need, get in touch and we'll prioritise based on demand.
